For small projects (under 5000 pieces) the usual time frame is one business day from receipt of data and materials. For larger projects the normal turn-around time is 1 – 2 business days for jobs requiring only one service and 2 – 3 days for jobs requiring multiple services. For large-scale, complex projects we will provide an estimate on the completion time once we have all the details.
Mail merge is the process of merging name, address, and other variable data with a letter or other document to create a personalized mail piece. We print on our in-house paper or your laser-compatible provided paper.
For Standard A (Bulk) Mail the minimum number of valid addresses is 200 and for Presorted 1st Class the minimum is 500.
A permit is required, but if you don’t have one, you can use our permit, saving you the initial application fee and the annual renewal fee.
NCOA stands for National Change of Address. The USPS requires that a list be NCOA’d, compared to the National Change Of Address data base once every 95 days. Minor updates during that period do not need NCOA processing. You can avoid NCOA charges by including “or Current Resident” in the address. The USPS requires this to reduce the volume of undeliverable mail.

There is a form that is required by the post office to determine ownership of the list and grant permission for NCOA Processing (running the list against the National Change Of Address data base). The form is a once a year requirement. We will provide you with the form and assist you with it’s completion.

The costs depend on the services needed and the postage. Our addressing fees include: basic data upload, CASS, basic address normalization, and presorting. We also include packaging, traying/sacking/palletization, preparation of USPS documents, and delivery to our local Post Office in Huntington Beach. All of these services are included in the addressing or laser merge price so you will not see these charges broken out separately on your invoice. Other services are added as applicable (for example, folding, tabbing, inserting). We will provide a quote as needed with estimated costs for our services, a mailing list (if needed), printing (if needed) and postage. The postage depends on several variables including the density of the mailing list, the type of mailer, class of postage, and size of mailer. Once we know some of those details we will provide an estimate, and once we have the mailing list and mail piece (or exact specs) we will provide the exact postage.
Ideally address formatting should comply with USPS addressing standards. An optimized list will contain the following elements:

Prefix
First Name
Middle Name
Last Name
Full Name
Company Name
Address 1 – This should be the primary delivery address including apartment or suite number
Address 2
City
State
Zip
Each of these elements need to be in a separate field, and all of the fields must be consistent throughout the list. Reformatting lists that are not consistent will usually result in additional fees. Please do not co-mingle domestic and international addresses.

We assign a scheduled “drop date” to each project according to your needs, and call or e-mail you with any questions or concerns as they arise (and answer your inquiries quickly). Once the project is started we normally invoice you with the scheduled drop date and the postage requirements. For the vast majority of our jobs this happens very rapidly, within 1 – 2 days of inception of the work. After the mail is dropped we forward you a USPS receipt for the mailing (showing the date of mailing, number of pieces, postage, etc.) within 3 business days. We use IMB Tracing, a USPS Mail tracker, for all letter-size mail (and some flat size mail). At your request we can generate a report that shows the percentage of your mailing processed at the USPS plant on any given day.
We take American Express, Discover, Master Card, VISA. Our preferred method of payment is by check. We make it easy for you by accepting checks by FAX or E-mail. Postage payment is due prior to mailing.

Yes, we are. We recycle all cardboard, chipboard, paper, plastic, and aluminum products that come through our doors. This amounts to quite a few dumpster loads of material not going into the landfills. We use natural cleaners on our equipment and have taken advantage of the Southern California Edison’s energy audits and Energy Conservation plans. We provide discounted and pro-bono services to several local nonprofit agencies working to improve our community.
We work closely with our printer partners who have in-house graphics departments and can design and print your mail piece. Whether you provide your own artwork or use our services, we will check to make sure the design complies with USPS requirements and will be eligible for the best postage discounts.
